  • Reporting to: Member Relations Manager but working in collaboration with the whole team
  • Relationships: Liaise with staff dealing with Marketing, Brand, Events and Finance Liaise with relevant Chapter members (we exist for our members)
  • Hours: Part-time, 3 days per week
  • Contract: Permanent
  • Salary: Per annum salary of $70,000 (pro rata) plus 11.5% superannuation (SG)
  • Location: Home Office
  • Additional benefits: Phone package/Internet allowance

This dynamic, new position offers a flexible work arrangement, working from a home office with a team located in multiple cities.

The role demands a passionate and driven individual who has exceptional administrative and data skills with fine attention to detail. You will be assisting the Member Relations Manager with the creation, implementation and delivery of a seamless membership engagement process and experience. Accurate data management and analysis is integral to tracking that engagement and understanding what members and non-members need and utilise.

You will also be encouraged to share your innovative ideas and take the initiative to identify potential improvements or alternative approaches to our output as a team. We believe that teamwork makes us stronger and we like to be the best at what we do!

What will you be doing in this role?

You will, under limited direction, be responsible for the maintenance of our CRM and participate in the planning, implementation and maintenance of a dynamic membership strategy across the organisation. You will also be supporting member initiatives, activities and events that enhance member retention and growth. We hope you will add a raft of skills and experience to our team.

Your key responsibilities & duties are to:

Your day-to-day will be busy yet varied and will see you complete a mix of the following tasks:

  • Membership Administration
  • Maintain and update member records in the CRM
  • Process membership applications, renewals and cancellations
  • Generate and distribute membership invoices, reminders and receipts
  • Member Engagement & Support
  • Serve as one of the primary contacts for member enquiries via phone, email and social media, ensuring timely and accurate responses
  • Assist in supporting online membership events, including webinars, networking sessions and new member orientations
  • Coordinate and distribute any membership materials
  • Data Management & Reporting
  • Run and analyse membership reports to identify trends in acquisition, retention and engagement
  • Assist in maintaining data integrity and accuracy within the CRM
  • Provide distribution lists of members and non-members as required by the team
  • Marketing & Outreach Support
  • Collaborate with the Events and Marketing teams to implement campaigns targeting member acquisition and retention
  • Support the creation of membership-related content for newsletters, social media, and the website. 

Additional Responsibilities

  • Provide administrative support to the Member Relations Manager as needed.
  • Contribute to special projects aimed at improving membership services, retention or growth

Academic & trades qualifications

  • Relevant qualification or demonstrated equivalent competency in data management and/or administration
  • At least three years’ data experience
  • The relevant rights to work in Australia or New Zealand

Work experience & skills

  • Strong interpersonal and communication skills with an engaging customer-focused attitude
  • High levels of energy to deliver an outstanding end product with pride in your work
  • Proven experience delivering a variety of reports
  • Familiarity with membership acquisition and management
  • Strong attention to detail and efficient execution of duties
  • Demonstrated experience of working with a CRM and segmenting customer/membership databases. We use Civi CRM
  • Intermediate to advanced level of experience using the Microsoft Office Suite, Teams, Word & Excel
  • Being a supportive and willing team player – a strong work ethic and can-do attitude is a winning combination for us and a key consideration for future team members
  • Experience working with virtual, cross-functional teams – we work daily with our volunteer members Exceptional learning agility
  • Enthusiasm, initiative and the ability to work independently
  • Embracing a small but fun, collaborative and supportive team
  • Clear, concise and confident communicator and able to manage expectations and priorities
  • Loads of initiative and the ability to speak up when you see a better way
  • Would be ideal to have experience working in a membership organisation, education institution or non-profit organisation (either as a volunteer or employee)
